Demystifying the costs of a Catskills wedding

By Casper de Boer, co-owner & founder of Roxbury Barn & Estate

Why “cheaper” often costs more

If you’re starting to plan your wedding and feel overwhelmed by beautiful venues with zero real pricing info—you’re not alone. The wedding world can be maddeningly vague when it comes to actual costs, and it’s easy to get swept up in dreamy aesthetics without realizing what’s really included… or not.

At Roxbury Barn & Estate, we’ve hosted hundreds of weddings, and one thing we’ve learned from many couples who shopped around and then happily chose us is this: what initially seems like a “great deal” often comes with a long list of unexpected costs—and stress you didn’t sign up for.

So let’s take a closer look at what you’re really paying for when you book a venue, and how to make sure you’re comparing apples to apples.

The hidden Costs of “Affordable” Wedding Venues

That low starting price you see on some venues? It might seem too good to pass up—and we get it. These places (often considered “blank canvas”, even if not labeled as such) often look beautiful in photos once they’re fully styled and set up. But here’s the catch: many of them are essentially an empty space. Minimal furniture. No staff. No catering. No coordination. Just walls (or a field) and a lot of logistics left up to you.

And by the time it all comes together, your budget-friendly venue has turned into a way-over-budget project—plus you’ve become a full-time event planner in the process.

What’s usually NOT included in Budget venues

Budget venues often cover the basics—but you’ll be on the hook for the essentials that actually make a wedding work, like:

  • Linens, glassware, and tableware
  • Catering, kitchen access, or waitstaff
  • An event coordinator (a must for your sanity!), and event staff
  • Complete furniture for your ceremony, for cocktail hour, for a lounge setting, for outdoor seating
  • Restrooms (yes, even those!) and backup power
  • On-site carts and drivers
  • Tents, weather protection, or climate control
  • Cleanup crews or trash removal

Each of these elements has to be brought in separately, often from different vendors. That means more time coordinating, more contracts to manage, and more money out of your pocket.

The full-service venue difference: What You Actually Get

That’s where a full-service venue (like ours) changes the math. Our pricing may look higher at first—but once you see what’s already included and what you no longer have to think about, the picture looks very different.

Here’s what’s part of your experience with us:

Built-In Coordination
From your very first email to your last dance, our experienced team is with you every step of the way. We help manage timelines, handle vendor logistics, and keep things flowing so you can stay present and relaxed.

Ceremony & Reception Spaces Ready to Go
No need to rent tables, chairs, tableware, or haul decor across the countryside. Our five distinct, styled spaces come beautifully landscaped and fully equipped, indoors and out.

A Culinary Team That Handles Everything
No need to source a caterer, rent a kitchen, or worry about surprise fees for ice, staff, or dietary requests. We serve farm-to-table cuisine with fresh, locally sourced ingredients and complete menu customization, and we include full tastings and multiple entrée choices.

Real Amenities You’ll Actually Need
We provide beautiful restrooms, backup power, climate control, parking, carts with drivers, and a rain plan—no emergency rentals, no scrambling.

Staff to Handle the Details
Our team of 15+ staff members takes care of setup, breakdown, cleanup, and guest guidance. You’re not coordinating a dozen vendors—we’ve got it.

The little things add up—so we include them

We know how quickly “a few small rentals” turn into thousands of dollars and hours of planning. That’s why we’ve designed Roxbury Barn & Estate to include what most venues leave out—so you’re not stuck juggling vendors or worrying about what might go wrong.

All you need to bring in is the photographer, florist, and entertainment of your choice. And we’re always glad to help you find the right fit.

Our pricing is clear and upfront. You’ll find our detailed offering right on our pricing page—no surprise fees or hidden charges.

Questions to ask any wedding venue about costs & VALUE

Whether you book with us or not, we want you to have a great experience. Here are some helpful questions to ask when visiting any venue:

The Basics:

  • What furniture, tableware, and equipment are included?
  • Are there real, indoor restrooms—or will we need to rent trailers?
  • Do you offer getting-ready spaces and staff support?
  • Will other events be happening the same weekend?
  • Are amenities like WiFi, carts, and drivers included?

The Planning & Logistics Essentials:

  • Is there a coordinator or team handling the flow of the day?
  • Do you host ceremony rehearsals?
  • What’s your rain plan—will I need to rent a tent?
  • Is backup power included?
  • Are there any hidden fees for cleaning, service charges, or equipment usage?

Catering Details:

  • How do you work with external caterers? Do you have kitchen facilities on-site?
  • Do I need to rent kitchen equipment or bring in ice, waitstaff, etc.?
  • Do you charge caterers a facility usage fee? (Spoiler: this cost gets passed to you.)
  • Can dietary needs be accommodated without extra fees?

These answers will help you get a real sense of what the total cost and effort will be.

It’s all about peace of mind

Our couples often tell us how relieved they felt once they booked with us. They weren’t signing up to manage a full-scale production. With us, you get a partner, not just a pretty space.

We’ve built our venue to be as magical as it is manageable—designed to be stunning from the moment you arrive, and supported by a team who truly cares.

Yes, we might look more expensive at first—but when you factor in what’s already included, we’re the smarter investment.

The real costs of a Catskills wedding

Planning your wedding should feel exciting, not exhausting. And your venue should help—not add to the workload.

So whether you choose Roxbury Barn & Estate or another venue that fits your vision, just be sure to look past the starting price and ask:
– What’s actually included?
– What will I have to figure out on my own?
– What will it all really cost in the end?

And above all—choose a venue that lets you focus on what matters most: celebrating your love with the people who mean the world to you.

Here’s to stress-free planning and the kind of celebration you’ll never forget. 🥂
