The minimum party size for a Saturday or Sunday event is 80 adults, and the maximum is 140 people, including the wedding couple and any children.

On Monday or Thursday, the minimum party size is 50 adults, and the maximum size is 100 people.

A first venue fee payment of $6,000 is due upon booking. The second and final venue fee payment is due seven months before the event date. The fee is subject to 8% sales tax.

COORDINATION SERVICES & PLANNING TOOLS:

Our Executive Director, Casper de Boer, will assist you from day one by providing you with all the planning tools you need. He will also set up a fully personalized online planning platform, where we will collaborate and develop plans for your day, starting with a detailed timeline. He’ll always be available for help or advice.

Our wedding coordinator, Danyelle Visingard, starts working with you six months before the wedding day and supports you every minute of the big day. We strive to make planning your wedding a fun and worry-free experience.

Our professional event coordinator and our executive director coordinate and lead all weddings at the estate. We do not accept external coordination.

The coordination fee is due six months before the event date and is subject to 8% sales tax.

WEDDING DAY FOOD SERVICE DETAILS:

COCKTAIL HOUR AT THE HILLTOP PAVILION:

  • Enjoy a beautifully arranged market table showcasing a curated selection of local cheeses and charcuterie, dips, spreads, roasted vegetables, fresh fruit, marinated olives, and artisanal house-made bread.
  • Select four passed hors d’oeuvres, expertly customized to your tastes by our chef.

SIT-DOWN DINNER AT THE ROOFED TERRACE:

  • For the First Course, we serve all guests the same appetizer, which can either be a seasonal salad or soup. First-course dishes come with freshly baked table bread and seasonal whipped butter, all made in-house.
  • For our main course option, we provide guests with four choices featuring local proteins and seasonal vegetables.
  • We attend to every detail with our full collection of tableware, silverware, glassware, and napkins, ensuring a refined presentation.
  • A customized menu consultation and a comprehensive on-site tasting are included.
  • Our wedding cake-only option begins at $12 per person. Select a custom cake created in-house, available in any design, flavor, filling, or buttercream. Coffee and tea are included.
  • Our unique dessert table features a captivating array of individual mini desserts, all beautifully presented at the carriage barn, available for $22 per person. Coffee and tea are included.
  • Your wedding menu will be a collaboration between you and our Chef, Leah Detreville. Seasonality drives the change in menus. Together, we design a fully tailored menu and experience for you and your guests.
  • Our pastry chef, Kristina Ugenti, offers a customized selection of lovingly crafted mini desserts, using as many seasonal and local ingredients as possible. Kristina’s desserts are beautiful yet never too processed.
  • If notified in advance, we can accommodate most dietary needs. Our nut-free kitchen ensures a safe and enjoyable dining experience for all guests.

We offer vendor meals at a reduced rate, along with a special menu for kids age eight and under.

Payment Schedule: Four months before the wedding date, 40% of the estimated food invoice is due. One month prior to the wedding date, the final guest count guarantee and the final food payment are due.

Please note that all food charges are subject to 8% sales tax and 20% gratuity.

Bar services at a wedding at Roxbury Barn & Estate
  • We serve craft beers from small breweries in Upstate New York, high-quality Old and New World wines, and a range of specialty drinks. We often combine small-batch liquor from craft distilleries in our region.
  • Beverage services start with a four-hour minimum open bar, which can be extended to a five- or six-hour window.
  • The “everything-but-liquor” option features premium white, red, and rosé wines, prosecco, five craft beers, one domestic beer, local hard cider,
    sodas, and juices.
  • The Full Bar option includes premium white, red, and rosé wines, prosecco, five craft beers, one domestic beer, cocktails and mixed drinks made with premium and local liquors, local hard cider, sodas, juices, mixers, and garnishes.
  • Upon arrival, guests are offered infused water, iced tea, and lemonade included in the venue fee. Bar service begins after the wedding ceremony.
  • The bar is open continuously from the start of cocktail hour after the ceremony until it closes at the end of the evening. It starts at the hilltop pavilion, moves to the dining terrace, and then to the carriage barn.
  • Our bar closes at the end of the set open bar window, at 11 p.m. at the latest on weekend evenings and at 10 p.m. at the latest on weekday evenings. At the end of the night, guests may bring their last drink to the optional bonfire on Spring Hill. During the bonfire, guests are also offered water, included in the venue fee.

For younger guests aged 9 to 20, there is a beverage charge of $30 per person for the duration of the entire event. We offer complimentary beverages for children eight and under.

Roxbury Barn & Estate provides all alcoholic and non-alcoholic beverage services for the event.

One month before the wedding date, full bar payment is due. Please note that all bar charges are subject to 8% sales tax and 20% gratuity.

BONFIRE DETAILS:

The venue fee does not include a weather-dependent bonfire with s’mores. Bonfires are lit when the bar closes and the dance party comes to an end.

Bonfires at our place add the perfect end-of-night magic and come with a complete s’mores table.

All wood is foraged from our 50-acre property without ever taking down a living tree.

Payment for the bonfire is due one month before the wedding date. If there is inclement weather, a refund will be issued as long as the bonfire remains unlit. The bonfire is subject to 8% sales tax.

Weekends versus Midweek

We host events from late May to mid-October—the perfect time for a wedding in the high peaks of the Catskills. We host one wedding each weekend, either on Saturday or Sunday. Additionally, we hold a limited number of midweek weddings on holiday Mondays and Thursdays.

Weekend

TIME FRAME
We host one wedding per weekend. You choose the time frame of your event. Depending on the booked number of hours of the open bar, the the wedding day festivities can last up to eight hours on Saturday or Sunday, starting at the ceremony, with the earliest starting time at 3 p.m. and the latest ending time at midnight.

REHEARSAL DINNER / POST-WEDDING BRUNCH
While couples are welcome to hold just their wedding day at our estate, we also host full weekend weddings. This includes the option to add-on a rehearsal dinner for 25 to 50 people on the evening before the wedding as well as the option to add-on a post-wedding brunch in the late morning and early afternoon following the wedding day.

PARTY SIZE
Saturday and Sunday party sizes range from an 80-adults minimum to a 140-people maximum.

WRAP-UP
Amplified music is permitted inside the barn until 11 pm. The latest time we light the optional bonfire is 11 pm.

CEREMONY REHEARSAL
During the day before your wedding day, our coordinator will guide a ceremony rehearsal, and receive any drop-off items.
